A packed schedule is great for business – but only if you can manage it properly. Double bookings, missed appointments, and running late all damage your reputation. Here's how to stay organised.
Use a Proper Calendar
Whether it's a digital calendar on your phone or a dedicated job management app, you need one central place for all your appointments. Trying to remember everything in your head doesn't work.
Block Out Travel Time
Don't book jobs back-to-back without allowing for travel. Nothing frustrates customers more than a tradesperson who's always late. Be realistic about how long it takes to get between jobs, especially during rush hour.
Plan Your Week in Advance
Take 10 minutes every Sunday evening to review your week ahead. Know where you need to be each day, what materials you need, and which jobs might overrun. Being prepared prevents last-minute panics.
Group Jobs by Location
If possible, schedule jobs in the same area on the same day. You'll spend less time driving and more time working. This is especially important if you cover a large area.
Build in Buffer Time
Not every job goes to plan. Allow some flexibility in your schedule for jobs that overrun, unexpected callouts, or admin time. If you're fully booked with no wiggle room, one problem throws out your whole week.
Communicate with Customers
If you're running late, let the customer know as soon as possible. A quick text or call goes a long way. Most people are understanding if you communicate – they're not understanding if you just don't show up.
Review and Improve
At the end of each week, think about what worked and what didn't. Did you allow enough time for jobs? Did you have to rush? Use this feedback to plan better the following week.
